Music Booster Meeting Notes, May 10 2017

In attendance: Meredith Berlin, Donna Crist, Evan Norberg, Rebecca Dietz, Jennifer Barron, Barbara Dolby, Dan Rowe, Katrina Sibicky, Anne Viggiano, Sue Pess.

Upcoming Events:

May 11-13 and 18-20: Nathan Hale Musical

May 21 Royal room jazz event

May 25 at Hale commons – swing dance. Lesson at 6:30pm, start at 7pm.

May 26 Jazz band at folklife in the afternoon (4:40pm)

June 7 choir and jazz concert 7pm

June 15 wind ensemble & orchestra concert 7pm

Note: there was a previously scheduled event on May 20 (Edmonds jazz connection) which is no longer happening.

Also: auditions for advanced vocal and jazz programs will be occurring June 12, 13 & 14 for returning Hale students and June 15 & 16 for incoming students.

Also also: June 13th is a general event for incoming students at Hale. Donna, Rebecca and Barb will be there along with some students to represent the music program. Anne will create a flyer with a preliminary calendar of booster activities and music events for next year that will include website info. Laurie may have some things she created for last year that could be re-used? If so, please forward to Evan and/or Rebecca. Meredith will ask.

Budget/purchases:

We currently have about $10,000 in the bank. There is $400 in self help, and more is trickling in from various sources. We also still have the Royal Room event and two treat sales at concerts. This is the time for teachers to propose and purchase big ticket necessary items.

There is a wish list on the website. Contact Anne Viggiano to update the list.

Evan: the Hale administration has agreed to pay for 6 drumline drums and some of the money for a new soundboard.

Registration for music program / recruiting students and booster participants:

Teachers will soon receive information about numbers of students registered for classes and working on a preliminary concert calendar for next year. Rebecca will put together a welcome email with website info.

Rebecca and Anne are willing to host a happy hour for parents – current and incoming – in the first few weeks of school. A casual social evening to go listen to a music event around town and talk, or some such thing. Rumor has is that some very helpful JAMS parents are coming our way J.

June 13th, Tuesday, is the general incoming families event at Hale. Donna, Rebecca and Barb will be there along with some students to represent the music program. Potential Spring 2018 Monterey trip: (for vocal Jazz and Jazz band)

Tickets would need to be blocked in August for festival, which is April 6-8.

There is one fee to send audition recordings for as many groups as desired. So, for example, various combos could apply in addition to the full groups. The application deadline is in mid-January. Select groups participate in the competition, however all groups have the opportunity to play several showcases in small venues on Saturday, and to attend workshops of their choice. Also, various music colleges are there auditioning students, which is exciting. College group participate as well, so there is a lot of great music happening.

Friday is a day to have fun in the area, maybe a meal and trip to the aquarium. Sunday is the competition. It is about a 2 hour journey from the nearest airport (San Jose).

The chaperone ration is probably 1/10. It is nice to have a reduced cost for chaperones.

Cost: TBD. When Eckstein went it was around $650/person, which included a few meals. We could do the cookie dough sale again as a fundraiser for kids to help pay their way.

Info sue needs: -an approximate number of students, including the maximum. It is better to block more seats and cancel some than to not have enough reserved.

Lexi has offered to help Sue with the organizing.

Royal Room event: Rebecca and Anne will head up win-a-jazz-combo ticket drawing aspect. Ticket prices were discussed.

Miscellaneous business: Plans for teacher appreciation were made.

President: Open, but Barb Dolby is willing to be a co-president.
